Event Manager
Job Classification: Exempt, Full-Time

Overview: The Events Manager is responsible for amplifying the Foundation’s visibility, enhancing fundholder, donor, and volunteer relations, and improving the organization's brand through managing special events. This newly created position will serve as the point of contact for the Foundation’s events throughout the year, including the annual Toast to Our Towns Gala and related Citizens’ Reception. The Gala is a celebration of local philanthropy and is the Foundation’s only fundraiser. Last year the event netted $167,000, with total revenue of $268,000 and expenses of $101,000, and welcomed 638 guests.

THCF hosts two moderately sized events annually, a Scholarship Ice Cream Social and Grants Luncheon. Each of these events brings together fundholders with their philanthropy in action. Attended by 200 guests, these signature events enhance the Foundation’s brand and build fundholder relations. Foundation fundholders contribute more than $5 million in grant and scholarship funding each year, and these events celebrate their efforts.

The Foundation also hosts 8-10 smaller event experiences each year, specifically tailored to meet the needs of specific audiences. These are usually small, intimate events with between 30-80 attendees.

The Events Manager will work to bolster fundholder relations, enhance the Foundation’s image, and deliver on event objectives.

Reports to: Director of Marketing and Communications

Key Responsibilities:
Manage the Toast to Our Towns Gala and Citizens’ Reception

  • Provide excellent support to the Gala Committee to design and implement event plans to effectively deliver on event goals and objectives
  • Provide excellent staff support to the Gala Sponsorship Committee to reach a sponsorship goal of $270,000
  • Manage budget and invoicing for all gala-related expenses, pledges, and payments
  • Manage event logistics, including booking venues, negotiating with suppliers, engaging volunteers, preparing scripts, directing audio-visuals, etc.
  • Provide regular reports on progress
  • Provide excellent customer service and timely communications to vendors, volunteers, and Committee members
  • Provide exceptional event planning and time management to ensure both events are well executed
  • Assist in event marketing

Manage Grants and Scholarship Events

  • Work closely with Department Director to develop an event plan
  • Book venues, arrange event services, select décor, and manage other logistics   
  • Serve as the contact person for event venues and services
  • Provide excellent event planning and time management to ensure both events are well executed, with sponsorships secured, and are well attended
  • Assist in event marketing

Other Events

  • Book venues, arrange event services, select menu and décor, and other duties/logistics, as needed: Behind the Scenes, Professional Advisor Happy Hour, Holiday Reception, Job Skills for New Careers Investor Update, Professional Advisor Seminar (2), Youth Advisory Council (YAC) Food Drive, (YAC) fundraiser, and the Grant Seeker Training
  • Assist with other events, as needed 
  • Assist in event marketing

Education/Experience: 3+ years of event planning experience is preferred. A Bachelor’s degree in public relations, communications, hospitality, or a related field is a plus but not necessary.

The ideal candidate will be a highly organized leader with a history of coordinating successful events utilizing exceptional project and time management skills.

The candidate must have proficiency in Microsoft Office Suite. Experience with email marketing, social media, or public relations would be a plus.

The selected candidate must have strong written, organizational, and interpersonal communications skills with the ability to work independently and as part of a team. Candidate must be able to work events outside regular business hours and be able to lift 25-50 pounds.

Salary/Benefits: Salary will be commensurate with experience and will range from $45,000-$50,000. Health, 401-k retirement plan with company match, paid time off, and 11 paid holidays.
